Privacy Policy

Effective date: March 28th, 2026

1. Introduction (title)

Welcome to PlatePrompts ("we," "our," or "us"), an AI-powered marketing copy generation tool for the foodservice equipment industry, accessible at plateprompts.com. This Privacy Policy explains how we collect, use, store, and protect information about you when you use our website and services. By using PlatePrompts, you agree to the practices described in this policy.

2. Information We Collect

2.1 Information You Provide

We collect information you voluntarily provide, including:
  • Email address - when you sign up, create an account, or contact us
  • Account credentials - username and password
  • Uploaded documents - product manuals, spec sheets, and other documentation you upload for copy generation
We do not collect payment information, Social Security numbers, or sensitive personal data through our standard registration process.

2.2 Information Collected Automatically

When you visit plateprompts.com, we automatically collect certain technical information through Google Analytics 4 (GA4), including:
  • Pages you visit and how long you spend on them
  • Referring website or search terms that brought you to us
  • General geographic region (country/city level)
  • Browser type, device type, and operating system
  • Anonymized IP address
This data is collected using cookies and similar tracking technologies managed by Google. We do not use this data to personally identify you.

3. How We Handle Uploaded Documents

Because PlatePrompts processes proprietary product documentation, we want to be transparent about exactly what happens to your files.

3.1 Document Storage

Documents you upload are stored on our servers to support ongoing copy generation and regeneration. You retain full ownership of all documents you upload. You may delete any uploaded document at any time from within the Service. Deletion is permanent - the original document file and all extracted text derived from it are removed from our systems and are not recoverable.

3.2 Text Extraction

When you upload a document, PlatePrompts extracts its text content for processing. This extracted text is stored separately from the original file and is used to generate and regenerate copy on your behalf. The extracted text is deleted when you delete the associated document.

3.3 AI Processing

Extracted text, not your original document file, is transmitted to our AI processing infrastructure for the purpose of generating copy. In regeneration workflows, extracted text may be combined with your additional instructions and previously generated drafts before being sent for reprocessing.
This AI processing is performed through a third-party AI service provider. We do not authorize our AI processing providers to use your content to train their models. However, content transmitted to third-party services is also subject to those providers' own terms of service and privacy policies, which we encourage you to review.

3.4 What We Do Not Do

We do not:
  • Transmit your original document files to any AI service
  • Use your uploaded content to train our own models
  • Share your uploaded content or extracted text with any third party except as required for AI processing and service delivery
  • Retain any document data after you delete it

4. How We Use Your Information

We use the information we collect to:
  • Create and manage your account
  • Process your uploaded documents and generate copy output
  • Send transactional emails related to your account (e.g., confirmations, password resets)
  • Analyze how our website is used in order to improve our services
  • Respond to your questions or support requests
We do not sell your personal information. We do not use your email address for advertising purposes or share it with third parties for their own marketing.

5. Google Analytics

We use Google Analytics 4 to understand how visitors use our site. Google Analytics collects data using cookies and reports aggregate trends. Google may use this data in accordance with its own privacy policy.
You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on available at: https://tools.google.com/dlpage/gaoptout

6. Cookies

We use cookies primarily to support Google Analytics functionality and to maintain your logged-in session. Cookies are small text files stored on your device. You may disable cookies in your browser settings, though this may affect some site functionality, including your ability to remain logged in.
We do not use cookies for advertising targeting or cross-site tracking beyond what Google Analytics requires.

8. Data Retention

We retain your account information for as long as your account is active. Uploaded documents and extracted text are retained until you delete them or close your account. If you request account deletion, we will remove your personal information within 30 days, except where retention is required by law.
Google Analytics data is retained according to Google's standard retention policies, typically 14 months.

9. Data Security

We implement reasonable technical and organizational measures to protect your information from unauthorized access, disclosure, or loss. However, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security.
